About the product

What is Nexus Business Register?

Nexus Business Register is one register for suppliers, spend and compliance evidence, built by Nexus Digital in Galway, Ireland for small and medium-sized businesses. It keeps suppliers, purchase requests and approvals, supplier invoices, spend reporting and forecasting, supplier reviews and ISO audit evidence in one workspace. An asset register for devices and software is coming soon.

Does Nexus Business Register include an asset register?

Not yet. A digital asset register for laptops, phones, software and licences is coming soon inside Nexus Business Register. If you need one today, Nexus Digital can set up and maintain an asset register for you as a service.

Who is Nexus Business Register for?

Owner-managed businesses, sole traders and growing SMEs that buy from several suppliers and want to control spend and keep evidence without the cost and complexity of enterprise procurement software. It suits trades and construction, professional services, hospitality, retail and other businesses in Ireland and the UK.

What problems does it solve?

It replaces supplier spreadsheets, retyped invoices, informal purchase approvals and scattered evidence with one system. Businesses use it to see what they spend and with whom, stop duplicate payments, spot supplier price increases, cost jobs accurately and answer audit or customer supplier questions quickly.

How is it different from accounting software?

Accounting software records the financial transactions. Nexus Business Register manages what happens before and around them: who the supplier is, whether the purchase was approved, whether the invoice matches what was ordered, what it cost per job and whether the supplier was checked. Accounting integrations with QuickBooks Online and Xero are planned.

How does it save time and money?

Upload and confirm replaces invoice retyping; it builds the supplier and subscription register from confirmed invoices, flags duplicate invoices and supplier price rises before you overpay, shows recurring costs before they renew and reveals the real cost of each job.

Is it procurement software for small businesses?

Yes. It provides purchase requests, approvals and supplier controls sized for small businesses, with owner-controlled purchasing for sole decision-makers and role-based approval for teams.

Pricing and trial

How much does Nexus Business Register cost?

There is a free 30-day trial with an allowance of 50 supplier financial documents per month. Essentials is €25 per month including VAT for 250 supplier financial documents per month. Professional is €47 per month including VAT for 1,000 supplier financial documents per month.

Is there a free trial?

Yes. Every business can start with a free 30-day trial covering the supplier register, purchase and supplier request trail, reviews and evidence, renewal reminders and 250 MB of evidence storage.

Are prices shown with VAT?

Yes. Monthly prices are shown including VAT.

Can I change plan later?

Yes. Start with the plan that fits and move up as your team, supplier count or storage needs grow.

Invoices and spend

Do I have to type invoices in?

No. Upload the supplier invoice and confirm the details Nexus prepares. A person confirms every invoice before it is used.

Does it stop duplicate invoices?

Yes. An invoice that has already been uploaded is flagged as a duplicate so it is not processed or paid twice.

Can I track supplier price increases?

Yes. Nexus compares unit prices across confirmed invoices and flags material price changes, keeping quantity changes separate so a bigger order is not mistaken for a price rise.

Can Nexus forecast upcoming supplier spend?

Yes. Once a supplier has billed on a regular cycle at least three times, Nexus shows the spend expected from those recurring invoices this week, over the next 7 days, this month and over the next 30 days, with the next expected date for each supplier. It also shows cash due from unpaid invoices over the next 7, 14, 30 and 60 days. Forecasting against budgets is planned.

Can I see spend by project or job?

Yes. Invoice lines can be allocated to projects, jobs, reporting units and cost types such as materials or labour, and spend is reported per project.

Approvals and controls

I am a sole trader. Do I need approvals?

No second approver is needed. Nexus records your purchasing decisions as owner confirmations, so you still have a clear record of what was bought, why, from whom and when.

Can different people have different permissions?

Yes. Users are invited with roles, and approvals, finance tasks and supplier reviews are available only to the people permitted to perform them.

Does Nexus support segregation of duties?

Yes. Where separation is required, the person who requested a supplier review cannot approve it, and the reason is shown instead of the decision form.

Security, data and compliance

Where is my data stored?

Nexus designs its services for EU-region primary data hosting. Each organisation's supplier and spend records are kept in its own workspace and access is controlled by role.

Is uploaded evidence checked for malware?

Yes. Uploaded evidence files are security-checked before they are treated as clean supplier evidence.

Does Nexus Business Register help with GDPR?

It helps you record which suppliers process personal data, where that data is located and what assessment was made, which supports GDPR accountability. It does not replace legal advice.

Does it help with ISO 27001?

It helps you maintain the supplier inventory, supplier assessments, approvals and evidence that ISO 27001 supplier-relationship controls expect. Nexus does not award certification.

Can I export my data?

Yes. Governance records can be exported, and account closure follows a controlled process.
